Procure-to-Pay Example Using SAP
S/4HANA Deliverable
1: General ledger accounts are considered master data and different controls within the master data allow the system to group accounts that are similar. The company wishes to enter a monthly rent expense. What is the chart of accounts number for rent expense?
740300
2: The SAP system is able to close the books at the end of a period by simply pressing a button. Examine the bank account (a real account) and cost of goods sold (a nominal account) and find what attribute the system needs to know to do the closing using each of these two accounts as examples.
100000 Bank Account:
Balance sheet account type, bank account, liquid asset
780000 Cost of Goods Sold:
Nonoperating expense or income type, P/L accounts group
3: 310000 Goods Receipt/ Invoice Receipt: This account is a special suspense or temporary account. Discuss the function of this account and what its status should be after the successful completion of a purchasing transaction in a company.
300000 Payables – Trade Accounts: For this account examine the Type/Description tab for your company code (US##). Look at the Account Group entry. Now look at the same field for account 300200 Payables – Miscellaneous. First, describe what this field represents and then explain why this field is different for the two accounts.
GL/IR function: Balance sheet account
The transaction balance should amount to $0 after successful completion of a purchasing transaction in a company.
Account Group: Determines the features of a general ledger account. Helps with managing and organizing the chart of accounts within a company. The account group can control the number range for the accounts, type of account,
layout of entry screens, and mandatory/optional fields.
Payables-Misc: Balance sheet account, no link to subsidiary ledger, allows user to post directly through G/L
Payable-Trade Account- reconciliation account, does not allow user to post to it
directly
4: What is the fiscal year variant for your company code (US
##
) and what does this mean from the point of view of the accounting system?
My fiscal year variant is K1
This means that the year end is 12/31, a calendar year, with one special period
5: The university would use fiscal year variant V6. Explain why this is the fiscal year variant for the university.
Fiscal year variant V6 means the companies fiscal year runs from July- June with four special periods. These periods align with academic year periods. 6: What type of application control is used on the field “Net Weight”?
Reasonableness
Net weight is limited to gross weight
7: What type of application control is used on the field “Base Unit of Measure”? (Pick from the list of
controls on page 2 of this assignment.)
Validity Check
User is limited to choosing certain values from a drop-down menu
8: How might the data on this tab be important to a company and its inventory management? Can you think of an example of a company that might use the information on this tab to reduce inventory losses and spoilage?
This data is useful for companies since it provides information to a user about a certain products shelf life. By knowing its shelf life, a company can mitigate waste and sell quality items.
An example of this being used is in a supermarket. Food products have a certain shelf-life and should be sold in a specific timeframe or else the food spoils and is worthless.
9: Write the message in the header bar.
Local currency converted to other currencies using current exchange rate
Material OLHT48 created
10: What did the system do as an application control? That is, how did the system know that this was
wrong?
The system performed a reasonableness check. The county, state, and time zone all relate, and based off inputting “US” and “CA” the system knew EST time zone was incorrect based on location.
11: The “Reconciliation Account” is a very important entry. Explain this entry. (Hint: This links back to
the account you looked at in the chart of accounts.)
Reconciliation Accounts relate to the general ledger (accounts payable in purchasing cycle) and are used to combine and reconcile the balances of subsidiary accounts or sub-ledgers within the general ledger. Procure to Pay
