Dear Dr. Taylor,
Our team at A Smallish Medical Group has enjoyed discussing the opportunity to work with you on developing new organizational motivation techniques. We began this project after our initial discussion and are submitting a proposed action plan for your review.
On Jul. 17, we discussed concerns regarding employee motivation. The lack of motivation being shown by employees were causing gaps in patient care and chart information via the careless and
haphazard documentation of patient information across the organization. By increasing communication among all employee levels, providing award-based recognition programs, and allowing time for team building we can increase patient care resulting in greater care, acquisition
and retention of patients.
The goal will be to increase organizational motivation by 60% and increase your patient care, acquisition and retention by 40% within the next year. This goal will be accomplished through the following steps:
1.
Implementing daily “Team Huddles” a.
Informal 30-minute meeting every morning before the start of the business day.
b.
Can be conducted via face to face, video call, voice call, or a combination of all.
c.
Managers set clear and measurable daily and/or weekly goals.
d.
Allow employees to show appreciation to one another regarding the previous day’s activities.
e.
Managers gain knowledge regarding possible outstanding performers based on employee feedback.
f.
Gives employees a voice and a sense of ownership.
2.
Working with managers to develop an award program.
a.
Introduce an award for teams who perform well together.
b.
Introduce individual awards for outstanding performers.
c.
Award a monetary amount not to exceed $100 for team awards
d.
Award paid time off for individual award winners.
e.
Award performance-based pay bonuses annually.
f.
Provide a greater sense of pride for the work being conducted.
g.
Create a drive to perform well for the company.
3.
Implement team building activities.
a.
Introduce electronic communication software that has chat, video, and voice features.
b.
Provide lunch in house bi-monthly.
c.
Provide periodic training.
i.
Recommend conducting in conjunction with bi-monthly lunches.
d.
Bi-annual company gatherings. i.
Recommend holding one event outdoors during June/July and promote as family event.
ii.
Recommend holding second event during December and promote as a “Holiday Party” for employees and significant others.
e.
Create planning team for bi-annual events.
i.
Team should consist of 5-7 employees.
ii.
Members volunteer and do not receive compensation for time outside of business hours.
iii.
Empower employees to work within company time and budget restraints.
iv.
Instill organizational and personal pride for employees.
For this project, we estimate a budget of roughly $12,000 to $15,000. We can discuss the plan in more detail if you so choose and can adjust the budget based on our organizations specific needs and your recommendations.
