Abstract In an ever-changing world, health organizations must keep up with these changes, anticipate, create change, be ready for an emergency, crisis, or disaster (Johnson & Rossow, 2019). Therefore, an emergency response preparation plan is necessary in an organization, the success of such will allow for the organization go through the most difficult challenges (Johnson & Rossow, 2019), but not only should the plan be in place, members of the organization must also be trained, knowledgeable, ready to act if needed (Johnson & Rossow, 2019). This course of action allows to mitigate results of emergency situations events and maintain business continuity; hence effective coordination and management of resources and responsibilities is critical. Understanding the significance of a contingency plan in preparation for potential emergency response is the purpose if this essay. 2
Benchmark-Emergency Response Preparation Strategically planning for a range of emergencies that can occur at any given time without warning, such as the Covid-19 pandemic and being ready to tackle, respond proactively without fear is called “emergency response preparations planning” (Moye et al., 2021). This planning enhances readiness for catastrophic incidents that have no warning and could potentially have a negative impact to the environment, communities, and/or organizations (Moye et al., 2021). Operational readiness is the outcomes from preparedness, the indicator showing the organization is ready to successfully overcome an emergency situation (Johnson & Sorrow, 2019). Learning continuance is a strategic plan needed for the success of plans set, ensuring the mission and vision is kept and the organization’s culture is reinforced and strong enough to adapt to changes and recover from any emergency even and drastic changes (Johnson & Rossow, 2019). Preparedness consists of comprehensive cycle of planning, organization, continuously development, training, and education necessary to mitigate confusion and respond quickly to the emergency and facilitate recovery (Johnson & Rossow, 2019). Workforce Training and Emergency Response Drill A critical success factor to be considered is training and education, if every member of the organization is trained and properly educated, they become a particularly important asset to the plan (Johnson & Rossow, 2019). An educated workforce is a fundamental component into creating a prepared, successful disaster response team (Birla, 2021). Therefore, implementing training benchmarks that will focus on integrated protocol and safety, covering individual roles, responsibilities they hold, potential hazards or threats and actions to follow, communication procedures, detailed training necessary and teamwork (Birla, 2021). Include a plan for reporting procedures, where everyone is aware who they need to notify, detail information of the potential 3
hazards to be aware of, have evacuation plans if it applies to the emergency, procedures in closing the facility, alarm systems in place and how to manage them (Birla, 2021). The organization should be familiar with each member and understand the role everyone holds, as a team this will help them recognize who are the leaders, who needs these notifications, detailed communication, procedures related to the emergency response (Birla, 2021). It is important everyone knows how to recognize an emergency, verify that all employees have been trained, and when every new employee is assigned to a position, when modern technology, materials, processes affect and change the plans, every time there is an update to the initial plan (Birla, 2021). Training, drills, effectively maintaining readiness, hence evaluation of drills will help identify strengths and weaknesses and help make improvements (Johnson & Rossow, 2019). Communication Planning and Command Center Organization, Management of Patient Records Communication planning is critically important to effectively provide with quality of service to patients, and very importantly to emergency preparedness (Both, 2019). A communication command center system in place would only be beneficial and appropriate to provide guidance and better planning in emergency situations (Both, 2019). A flexible communication and information system will lead to an effective response to emergencies and appropriate coordination with federal, state, and local requirements, and processes will easily be followed during the emergency situation (Both, 2019). An internal communications process should also facilitate communication between employees, patients, leaders, stakeholders, and anyone related to the organization that can potentially be affected (Birla, 2021). Ensuring all contact information is continuously updated and relevant to the plan, accessible and available to anyone in the organization (Birla, 2021).
