Week 2 Case Study
1. Dr. Barr needs help with resource controls and scheduling. One of the issues contributing to this is that
she has too many staff when they are not required and needs more team when they are busy. She also needs help keeping supplies in stock, duplicate supplies, and excess inventory. This is an issue because it causes supplies to sit too long and expire. This could one day lead to storage space issues as well. 2. a schedule may not work here because there may be different days that are more convenient for the area in which she is located. If she was in a major city in her prior clinic, the types of animals, services, and injuries may have differed, requiring more or less services during certain times and days of the week.
3. One of the reasons the clinic has issues with inventory control is a need for more organization in the area. There needs to be a proper system to track and control what is currently in stock on the shelf and what has been ordered. It becomes a cluster with everyone ordering supplies rather than having one central system where everyone communicates what is needed and what is on hand. There is no tracking system either that determines that the resources are in the right place, that the quantity of what they have is correct, or that it is needed at the right time.
4. Rather than use a scheduling system like she used in her previous location, she could review the appointment log to see what times and days she is the busiest and make her staff schedule around the clinic's needs. She could also swap schedules around and employ a more creative scheduling shift. For the issues with the supplies, she needs to have one central location in which collections and resources are tracked and ordered. 5. I suggest to Dr. Barr to discuss with your staff that everyone has to work one weekend a month, which would be rotating. You will be offered two off days once the week is your weekend to work. She could also tell them that they have to work at least one weekend day a week and will get an additional off day during the week when they are less busy in exchange. She could also consider after-hours care on a random day during the week to allow for less of a crowd on Saturdays. So she didn’t have to keep the staff later, she could alter the schedule and open later to allow the clinic to be open later and accommodate the team and the clients. This would ensure enough doctors and staff without the added costs of another doctor with benefits. I see it as working with what you have. She would also need to utilize a system that would allow for the organization of the supply room, a streamlined design that would alert to duplicate orders or potential waste. She could use an Excel sheet or even Google Docs to track the stuff on a spreadsheet. She could also pick one staff member to order the supplies and add them to the spreadsheet. She could implement a process where other staff would email this appointed person when supplies are running low for them to verify and order them. In the long run, this would save her a ton of money. A first-in, first-out process would also help with this and ensure they are organized according to what will expire as soon as possible.
