Objective:
To provide you with an opportunity to demonstrate and determine that you have the ability to complete
the tasks outlined in the elements, performance criteria and foundation skills for this unit.
Purpose of the assessment:
The purpose of this assessment task is to evaluate your knowledge and skills essential to manage recruitment and onboarding in a range of contexts and industry settings and assess that you have the skills
regarding the following:

Update organisational policies and procedures for recruitment and onboarding.
●
Identify the need for recruitment.
●
Prepare and oversee appropriate documentation required for recruitment.
●
Select and advise job applicants appropriately.
●
Manage the onboarding process.
●
Comply with relevant legislation and organisational requirements.
Task Summary:
This assessment task requires you to demonstrate skills to manage the recruitment and onboarding process
for two (2) different individuals
.
Assume you are working as a Human Resource Manager for Online Media Solutions
. You will participate
in a number of assessment activities mentioned within the assessment task activities which will assess your
skills, knowledge, and ability to manage all aspects of recruitment and onboarding processes according to
organisational policies and procedures including managing aspects of recruiting, selecting new staff and
orientating those staff in their new positions.
In the course of the above, you must:

Update organisational policies and procedures for recruitment and onboarding.
●
Identify the need for recruitment.
●
Prepare and oversee appropriate documentation required for recruitment.
●
Select and advise job applicants appropriately.
●
Manage the onboarding process.
●
Comply with relevant legislation and organisational requirements.
To do so, you must complete the following activities:
●
Activity 1
: Update organisational policies and procedures for recruitment and onboarding.
●
Activity 2
: Create forms and documents supporting policies and procedures.
●
Activity 3
: Communicate updated policies and procedures.
●
Activity 4
: Identify the need for recruitment.
●
Activity 5
: Manage the recruitment process.
●
Activity 6
: Conduct recruitment and select and advise job applicants appropriately.
●
Activity 7
: Manage the onboarding process.
Assessment task Instructions and Requirements:
●
The student will take on the role of the HR Manager.
●
The trainer/assessor will take on the role of Operations Manager.
●
The trainer/assessor will further assign the following roles to staff member/students:
o
Marketing Manager
o
Customer Service Manager
o
HR team members (Any two)
o
Interview candidates
●
The student will have the responsibility to manage the team members.
●
You will be assessed on working in a team environment and meeting your job role and responsibilities.
●
You must follow the instructions provided by the Operations Manager.
●
You will be assessed on your knowledge and skills to complete this project and must be completed in the specified timeframe.
For Activity 3, 4 and 7, where meeting is to be conducted:
●
If the meeting is a face-to-face meeting
o
The trainer/assessor will supervise/observe the meeting as well
o
The student must complete meeting agenda, meeting minutes and associated templates
If the meeting is conducted online
●
The student must use video conferencing tools such as zoom, Google meeting etc
●
The student must conduct the meetings in presence of the trainer and if technology allows send the
recorded meetings to the trainer/assessor.
●
The student must complete meeting agenda, meeting minutes and associated templates
●
The trainer/assessor will assess the meeting conducted in his/her present and the templates
completed.
●
The student must use the templates provided to document their responses.
●
The student must follow the word-limits specified in the templates.
●
The trainer/assessor must observe the student conducting interviews and meetings.
●
The trainer/assessor must assess the student using the Observation checklist.
Workplace Simulated Scenario:
Online Media Solutions is committed to the implementation of its operational plans and achievement of its
strategic objectives. To implement its operational plans, the organisation has to recruit new employees.
The organisation has existing recruitment and onboarding policies and procedures for recruitment,
selection and onboarding process. However, the existing recruitment policies and procedures do not focus
on diversity in the workplace (given below).
Management wants to incorporate diversity into the workplace to increase creativity and promote
innovation in the workplace.
Management wants you to update the existing recruitment policies and procedures to incorporate
diversity, determine the future human resource requirements and manage all aspects of recruitment and
onboarding processes according to organisational policies and procedures.
Your roles and responsibilities as HR Manager:
You are the HR Manager in Online Media Solutions. You manage all aspects of recruitment and onboarding
processes according to organisational policies and procedures. This includes:

Recruiting new staff
●
Selecting new staff
●
Orienting the selected staff members in their new positions
As part of your job role, you have the following job responsibilities:
●
Updating organisational policies and procedures for recruitment and onboarding
●
Identifying the need for recruitment
●
Preparing and overseeing appropriate documentation required for recruitment.
●
Selecting and advising job applicants appropriately
●
Managing the onboarding process
●
Complying with relevant legislation and organisational requirements
The roles and their responsibilities: Relationships with stakeholders such as staff members and
Operations Manager
The assessment task requires you to communicate with a number of organisational stakeholders. The main
roles applicable to the assessment task includes:
Role number 1: Operations Manager: The Operations Manager is the individual who supervises or is in
charge of the organisation. They belong to a higher rank or status. Their job role and responsibilities are:

Assign a team to you to complete the project.
●
Assist you in understanding the task requirements.
●
Provide you information about job roles and responsibilities.
●
Supervise you completing the assessment task and requirements.
Role number 2: Marketing and Customer Service Managers and HR team member: The Marketing and
Customer Service Managers and HR team member are student’s co-worker or workfellow. They are
associates that the candidate works with. Their job role and responsibilities are:
●
Assist you in completing the project on time.
●
Help you to research and identifying relevant information.
●
Participate in a healthy and open discussion.
●
Helps you in determining the future human resource requirements.
●
Communicate and collaborate with you for each assessment activity.
Activity 1: Update organisational policies and procedures for recruitment and onboarding.
Activity context
Management wants to update existing organisational policies and procedures for recruitment and
onboarding. As per the organisational requirements, they want to incorporate diversity into the workplace
and base the recruitment process around digital technology to improve its efficiency and effectiveness.
Description of the activity
This activity requires you to update existing organisational policies and procedures to incorporate diversity
into the workplace and base the recruitment process around digital technology to improve its efficiency
and effectiveness and obtain support for the updated policies and procedures from Operations Manager
and General Manager.
To do so, you are required to complete the following two (2) parts:
●
Part A: Update existing organisational policies and procedures.
●
Part B: Obtain support for policies and procedures from relevant stakeholders.
Part A: Update existing organisational policies and procedures.
This part of the activity requires you to update the existing organisational policies and procedures according to the organisational requirements using ‘
Template 1’ provided. To do so, you are to:
●
Identify existing recruitment and onboarding policies and procedures from the case study information provided.
●
Assess options for technology to improve efficiency and effectiveness of the recruitment process.
●
Update existing policies and procedures for recruitment and onboarding according to the following organisational requirements:
o
Incorporate diversity into the workplace.
o
Base the recruitment process around digital technology to improve its efficiency and effectiveness.
●
Ensure the updated policies and procedures for recruitment and onboarding comply with relevant legislation and organisational requirements.
The updated policies and procedures for recruitment and onboarding must include the following information:
●
Purpose of exiting recruitment and onboarding policies and procedures
●
Technology to be used in updated policies and procedures for recruitment and onboarding.
●
Updated policies and procedures for recruitment and onboarding
●
Legislation and regulations that need to be complied with during recruitment, selection and onboarding.
Part B: Obtain support for policies and procedures from relevant stakeholders.
Part B of this activity requires you to obtain support for the updated policies and procedures for recruitment and onboarding.
To do so, you are required to write a draft e-mail for the Operations Manager and the General Manager of
the organisation and request support and approval for the updated policies and procedures for recruitment
and onboarding.
Your trainer/assessor will provide you with the e-mail addresses to send the e-mail or ask you to write the
draft email on the assessment copy.
When writing the e-mail/draft email you must ensure that you:
●
Ensure the text written in the draft e-mail is grammatically correct and free of errors.
●
Use business style writing.
●
Write an appropriate subject line for the draft e-mail.
●
Provide a summary of the attachment in the body of the draft e-mail and request support and approval for the updated policies and procedures for recruitment and onboarding.
●
Attach updated policies and procedures for recruitment and onboarding to the e-mail.
