What set of steps should be used to create the code of conduct?
My first step would be to meet with Theresa and Mike and have them form a code development
committee. I would have them to explain the importance of the code of conduct for the corporation and clearly define the mission and purpose, and to make sure that each stakeholder at
the implementation phase of the construction is on same page and so they know that it’s an important factor in creating an ethical culture. Once that is established, the development committee should determine who will be included in the development of the corporation’s code of conduct. They must agree on the core values and principles of the corporation then branch out from there. This step of the process is called the gathering information stage. The second step involves setting rules in place based on those core values and principles. Other important information or questions to consider during the gathering phase is what laws and regulations are there that require strict compliance, what problems have we encountered in the past and could we
possibly face in the future, and any ethical gray areas that we need to address? (Lighthouse, 2013) After these things then comes the outlining of the document. Its commonly called the drafting of the code of conduct. The third step will be to review the draft. This will be comprehensive in that it needs to be clear
and ensure that it complies with the original intent of the company’s values and vision. This will be done by the code development team. They will view it and make any necessary edits. The corrective edits may come in the form of suggestions from a targeted group selected by the code development committee. Then sent to top management for their input or advice. After all that, the final document should be given to legal counsel to ensure legal compliance.
The fourth step will be to adopt the code. Top management is responsible for this step of the process. The adoption of the code of conduct legitimizes the document and shows the sincere commitment to the new ethical culture.
The fifth step. Introducing the code of conduct document to its employees and members. This new commitment to ethical behavior should be a wide scaled celebrated from the top down. At this time the document should be given to all employees and posted throughout the building or
buildings. Periodically, there should be a code training program to ensure employees understand daily what is expected through these codes. The sixth and final step is the enforcement of the new codes. I would recommend hiring a ethics/compliance officer. His/her responsibilities would be to monitor and develop processes in areas of investigations and disciplinary actions. What should be included in the code of conduct? Some of the topics that they may consider in drafting this is conflicts of interest, harassment, customer relations, vendor relations, fraud, use of company property, discrimination, and confidentiality. While crafting these topics it is important to include or solicit input from employees to get accurate feel of any ethical dilemmas they face daily. Mission statement and values, and workplace policies and procedures. What impact does a code of conduct have on an organization's culture?
Typically, the three most common reasons for adopting business codes are to comply with laws and legal requirements, create a shared corporation culture and improve and/or protect a corporation’s image. This could impact and have a profound positive outlook on the corporation. Internally and externally the respect, trustworthiness, and fairness will prevail over financial objectives.
