In this digital age of rapid communication, how can you justify the time it takes to stop and revise a message? (Objs. 1–5) A) It is true that the digital age of writing is characterized with the need for speed, timely communication, deadlines all in a race to save money. This makes revising a message seem time consuming. Although, sending messages in a rush can be unclear and lead you to a wasted time of back- and- forth with the recipient of the message asking for clarification which can take up twice the time or longer, lead to conflicts at the workplace and reduce efficiency. Messages that are written directly and efficiently are easier to read and grasped, saving reading time and money. To justify your time spent by reducing your speed to revise because it avoids messages that lack simplicity, waste of time trying to explain what is being asked, and helps you retain reliability and keep the credibility of the company. The method of revision involves editing, proof reading and content assessment. It is an opportunity for you to make sure that what you have written conveys the intended message clearly. Seeing the draft messages in the first and second attempt are usually unsatisfactory. Revising a message helps in removal of unfit phrases and eliminating empty words by decreasing the extras. This improves the credibility of the writer and increases the chances of the reader being receptive to the message sent. 2. Assume you have started a new job in which you respond to customers by using boilerplate (previously constructed) paragraphs. Some of them contain clichés such as pursuant to your request and in accordance with your wishes . Other paragraphs are wordy and violate the principle of using concise and clear writing that you have learned. What should you do? (Obj. 2) A) As the new employee I would take the original and revise a second copy to ensure all the fillers are removed and the message becomes clear and concise. The cliche sentences I would use a thesaurus and reword them to refresh the old with newer ways to communicate. E.g.: “Pursuant to your request”, can be changed to, “as requested” or “In accommodating your request.” 3. Because business writing should have high “skim value,” why not write everything in bulleted lists? (Obj. 3) A) High skim value is for important key elements in an email. Such as meetings, tasks, statistics. Not all emails require the bulleted form, some are only for quick messages and simple thoughts or

However, can messages be too short? (Obj. 1) A) Yes, a message can be too short. It is said that if a message is too long there are too many fillers, if a message is too short then there can be miscommunication and not enough of the information is available. We need to use words that are that are strong in telling the receiver the correct message while still using as few words as possible. Writing consciously is a practiced skill that everyone will benefit from. C) What advice would you give in this ethical dilemma? Brittany is serving as interim editor of the company newsletter. She receives an article written by the company president describing, in abstract and pompous language, the company’s goals for the coming year. Brittany thinks the article will need considerable revising to make it readable. Attached to the president’s article are complimentary comments by two of the company vice presidents. What action should Brittany take and why? (Obj. 5) A) Brittany will need to revise the letter by trimming the fillers and reconstructing how the newsletter will look. She can take the important key elements and put them to bullet form. She can add heading in number form for the order in which they may be applied and keep everything the president has stated in the newsletter while using more common phrases and words that all level of employees is familiar with, that allow for easier reading at a more rapid pace to save time which saves money.
