What to do Before the Meeting

At least three weeks prior to the IEP meeting contact the parents/guardian of the student and invite them to the meeting. (Special Education Teacher)

It is important to make sure that the parent understands the purpose of the meeting, so that they can have the option to bring someone with them if needed. Example of this would be: if the parents need an interpreter to help them understand what is going on at the meeting.

When contacting the parent make sure to have a list of availability dates and times that they can choose from. (Special Education Teacher)

It is a good idea to talk with the principal and anyone else who is attending the meeting to see what their availability is, and then from there give the parents a list of those available times, so that everyone is able to attend and you do not have to keep going back and forth trying to find good availability.

Follow up with an email or letter to confirm the meeting time and date. (Special Education Teacher)

It is important to keep all records of communication to show when parents are contacted to make sure they are going to the meetings.

Email the parents/Guardians the Procedural Safeguards. (Special Education Teacher)

Parents should receive the Procedural Safeguards, so it is important to email this along with communications in regards to the meeting, so that you can show that you sent this information to the parents/guardians.

10 days prior to the meeting: send a copy of any evaluations administered to the child, via email. (Special Education Teacher)

The teacher (General Education and Special Education) should prepare student work samples, test scores, or any other important information to share at the meeting. c
Make sure DRAFT is written on the IEP that is brought to the meeting. (Special Education Teacher)

It is important to let the parent know that just because things are written does not mean thigs cannot be added or taken off. This is just a draft to help determine what is best for the student.
What to do and Bring During the Meeting

Introduce yourself, and have everyone else introduce themselves. (This is everyone at the meeting: General Education Teacher, Special Education Teacher, Principal, and anyone else involved in the meeting)

This is so that the parent knows everyone’s role in their child’s education journey.

Read the report to the parent. (Special Education Teacher)

The report will go over the students results for different testing.

The current progress in school.
o
Any behavior issues that is present.

After the reports are read the team will go over different ways to help the student, the goals of the students, and the specific needs that the student’s needs. (This is everyone at the meeting: General Education Teacher, Special Education Teacher, Principal, and anyone else involved in the meeting)

During this time adding to the draft will take place.
o
Adaptions that will be made (such as extra time for testing)
o
If the student needs specific services (such as speech).

Make sure the IEP is agreed upon by everyone in the meeting. (This is everyone at the meeting: General Education Teacher, Special Education Teacher, Principal, and anyone else involved in the meeting)

Parents must give consent before an IEP can be implemented.

Ask if the parents have any additional concerns. (Special Education Teacher)

During this time parents can bring up concerns they have with their child, and ask for things not mentioned such as: preferential seating, a tape recorder to help recall information, and other things that will help their child. o
Parents also have the right to revoke the right to continue special education services at this time.

Take notes to make sure all the important information is being recorded. (Special Education Teacher)

The IEP team members should also take notes to make sure they have all the important information to write a final IEP.
