Communications is by far the most important driver in project management and more often than not it is the least adequately planned part of the project and least effectively carried out. Manage program communications 3.1 How do you ensure appropriate communication occurs throughout the program? Efficient Project Communications are a critical part for successful projects. It has a huge influence over my projects success or failure. The Communications Schedule reflects the detailed communications that will take place across the life of the project. It controls the information provided in the Communication Management Plan and includes considerations such as the way feedback will be sought such as: Stakeholders: • Approval sought for project scope, timeframe, and budget. • Project progress and any changes to work schedule or budget to be communicated. • Project progress updates to be provided and alert stakeholders of pending critical milestones. Address what’s in it for them and any expectations for distribution to the area they represent. • Minutes recorded and actions assigned for relevant personnel. These actions to be monitored and tracked. • Everyone has an opinion, so for those not able to contribute in the meetings, send an email to all and request further feedback. Communication is an important part of our everyday lives. Without communications skills, it is extremely difficult to preform many simple tasks. With one person describing to another the function to perform, there needs to be clear description of the task at hand. When dealing with software projects, it is imperative that the end user convey their requirements of the software to the developer. Effective communication skills need to be used in order for a software project to be successful. A lack of communication to define a software project will not only doom the project but quickly increase the project budget due to misunderstandings and rework.

Communications planning activities identify the appropriate level of communication for each project stakeholder, what information should be distributed and the frequency of communications. This plan should also include the vehicle of communications (email, face to face meetings, etc). The risk of insufficient planning could result in failure to accomplish key project objectives, duplication of effort, and reduced stakeholder confidence.
