Small-Talk Journal #1 – Active Listening
Scenario
I enjoy saying that I work for a software company, although my position within the company is very annoying. My job is to pretty much listen to people all day and enter their work orders for their rented house or apartment. Our company, which is a property management software company, decided to make some extra money and provide a service to help out property managers and their maintenance staff and also entertain themselves with our recorded calls.
Even though our company is rated as the 23rd best place to work at for a small company, according to Glassdoor.com, my specific job isn’t the best. I actively listen every single day and although it is very tiring, it has advanced my multitasking and communication skills drastically.

Me: (Realizing that they honestly may not know what a toilet is, I move forward with the conversation.) “Alright where is at exactly, which bathroom is it in?”
Tenant: “It’s in the master bathroom.”
Me: “Okay, so just to clarify, there’s a stool that’s broken and stopped up in the master bathroom, is that correct?”
Tenant: “Yeah, get someone over here now Ben! This shouldn’t be happening; I pay $300 a month for this to not happen.”
Me: “I completely understand your frustration and what I’m going to do for you is contact the Property Manager and make sure we get someone out there as soon as possible for you.”
Tenant: (Goes on long rant about lack of service by Maintenance Department… I actively listen and compliment the conversation with “mhmm” and “yeah.”)
Me: “Yeah I know exactly what you mean, and I do understand where you’re coming from. I’ve been in a situation like that myself lately so let me go ahead and take care of you and contact them right away.”
Tenant: “Thanks Ben.”
Nonverbal
Spoke with the tenant Wendy Spencer today, 9/23/2015 at 3:00 pm regarding the water bill notice she received state that the water is scheduled to be shut off due to no payment received. Per the lease agreement the tenant is not responsible for the water this is included in the rent. Ms. Spencer sated that there are some concerns with water leakage however, when she spoke with maintenance Ms. Jackie on Tuesday, 9-22-15 the tenant failed to relay information. The following concerns are:
Larry Landlord has recently renovated an apartment and has put it on the market to be rented for $800.00 a month. Larry Landlord has been in business for approximately five (5) years and has had both positive and negative experiences with tenants. Larry Landlord is hoping to find a good, long-term tenant for his apartment. Roger Renter saw Larry’s sign for the apartment for rent and thought the location and the apartment would be perfect. I have lived at Mission Springs apartments for 6 months now and have had nothing but issues. When I first moved in I went 2 weeks with no air conditioning. Living in Arizona you can see how that is an issue. Once monsoon season rolled around I developed a leak in the master bedroom. I scheduled many work orders to get it fixed, if anyone even bothered to show up it would be a maintenance worker from Mission Springs. A total of 4 TIMES they came to my apartment looked at my roof and told me they couldn't do anything because they are not roofers!! 4 TIMES REALLY?! Once the leak finally got fixed 2 months later, my ceiling looked horrible. It took them over a month to finally get in here and finish the job! A total of 3 months to fix a leak? I’m writing to you because I am having a problem with other tenant(s) in the apartment complex. People at the Barkley Springs Apartments are just too noisy, and as a result it’s keeping me up during the night. The police are being called nightly due to their fighting. I ask that you do something about this.
I Joyce Wilson landlord of the above address would like to gain access to Melanie Stafford’s apartment to do repairs. I have tried numerous times before but Melanie Stafford will not allow me or the workman in the apartment. Melanie Stafford has an unauthorized person living in the apartment and has keys to the apartment. I made several complaints and nothing has been done. Melanie Stafford has removed the fire/carbon dioxide detectors and threw them in the garbage on 4/24/16. The date of the inspection (4/18/16), there were fire/carbon dioxide detectors in Melanie Stafford’s apartment. I am asking HQS to notify Melanie Stafford about replacing the fire/carbon dioxide detectors immediately. Melanie Stafford is not paying her rent and she owes
9/6/17 Joseph Gomez, Wellness Coach (WC) made a visit to Cory Blake (Tenant) at his apartment. When WC arrived Tenant was quite cordial. Cory was dressed appropriately and had just finished eating a meal he had prepared. Tenant is still interested in homecare services to help him with maintaining clean his apartment and preparing health meals. Cory reports that he is eating and he still has money on his benefits card.

If something broke in my apartment, I just called the leasing office. It was a relief after a long day’s work not to come home and take care of a house. I liked the maintenance free lifestyle so much, I even called them to replace my lightbulbs!
As it often happens, there may come a time when a manager of an apartment building (landlord) and a tenant argument rises up. These arguments can pop up over many different issues including lease agreement rights, responsibility for repairs to the property, rent, evictions, and more. It is unfortunate that not all tenants and landlord’s arguments can be settled by a simple conversation between both parties to the lease. While many people in the U.S. are homeowners a great many other people live as tenants in different types of rental residences. Even though tenants don 't actually own their rental residences they do receive certain rights almost the same in some ways to ownership rights. Tenants of rental residences and their landlords also have responsibilities to each other, including residence repairs. Depending on the situation/event, a tenant or a landlord may be responsible for making repairs to the tenant 's rental residence.
He told me he really needs someone as soon as possible. I told him we will need to get someone onsite to resolve the issue. I said we were going to try and get someone out there today but at the latest we would have someone there in the morning. I could tell he was a little frustrated on the phone, but for the most part he was understanding.
I agreed to let you rent for $1000. per month with the understanding that you would take care of minor things around the property in exchange. Which you have and I appreciate it. Recently I have worked with you on the rent by allowing you to recover your security deposit and also the short reduction to help you through the recession. Having said all that don't you think the time spent snaking out the sinks was already part of our agreement? Next time I come I will be going under the house, I can't imagine the pipes running up hill after all these years...
