Opening the office
Opening the Physician’s office is a very important job that requires preparation of all areas of the office. When opening the medical office, make sure that it is opened early enough to prepare for patients. To prepare for patients’ arrival there are tasks that must be completed. Disarming the alarm system, turning on the lights, unlocking the file cabinets and medicine cabinets, unlocking the door in which the patients enter and turning on all office equipment should be top priority.
Ensure that the reception area/waiting room is clean, neat and ready to receive patients. Because patient reception begins as soon as a patient enters the doors of the office, patients tend to form opinions about the quality of care they will

Switch the phones from night/weekend to the day system. If the office uses an answering service after hours, be sure to call them to inform them that the office is open. Ensure that the patient’s charts are prepared. Check the restrooms and exam rooms for cleanliness. Ensure that the office thermostat is set to an appropriate temperature for that day.
The medical assistant should perform a visual safety check of the medical office daily. Remove any hazards that may block the hallways and/or exits. Biohazard and sharps containers should be checked and emptied properly. Depending on the office, this may include equipment safety checks, fire safety checks, medication safety check, and medical emergency equipment safety checks.
It may also be necessary to ensure that tools and supplies need to perform procedure are stocked and available for use when needed. There are numerous tasks that a medical assistant will do in the office during the day, this is just the beginning. During the day you may, assist the physician and physician assistant in exam rooms, escort patients to exam rooms, interview patients, measure vital signs; including weight, blood pressure, pulse, temperature, and document all information in patient’s chart, give instructions to patients as instructed by physician or physician assistant, ensure all related reports, labs and information is filed and is available in patients’ medical records prior to their
Everyone in the office has known set guideline of what their daily tasks that they are to complete. I think this is attributed to such the calm mood in the office. There are times that things can get hectic and, usually during our morning meetings, but after that the mood dissolve and disappear. There is a front desk as you walk in the front door, since I have started at the agency there is no one there. For the most part there is no need for a receptionist. None of our clients physically come into our offices. We go to them, in the comfort of their home. This is because our clients are our clients because of terminal or chronically ill patients. We are there to provide a comfortable life. With there being so many workers in and out of the office, whoever is working from the office, becomes the receptionist. I’m defining the Receptionist role as answering the phone. Our phones ring constantly. When our patients have questions, are concerns, it is the quickest way to get a hold of us. While each of the workers who visit the patients has a cell the office is also another way of contacting us. It is fundamentally important that our patients and patient’s families can always get in contact with us. We as a company are literally a phone call away and when patients need us, we are there as soon as possible. Communication in the office is completed in several different ways. There are emails, face to face contact, and phone
The third thing as a receptionist you must make sure that none of your patient records are left open for other people to view.
Medical assistants are cross-trained to perform clinical duties such as coding and filling out insurances forms for the physicians (AAMA, 1996). They handle correspondence, billing, and bookkeeping (AAMA, 1996). They assist the physicians during exams and prepare and administer medication as directed by a physician (AAMA, 1996). Medical assistants also remove sutures and change dressings (AAMA, 1996). Medical assistants are essential members of the health department.
Before I start work, I ensure that the environment is spacious to avoid any accidents. By ensuring that the floor is dry and clear of any obstruction or material that could result to risk of an accident to both the service user and member of staff in line with Health and Safety first Aids Regulations 1987. I carry out checks on the residential areas and on the surroundings, fire checks and parked the wheelchairs and Zimmer frames in their appropriate places to avoid any accidents. I check to see that all doors and windows were locked and secured and areas are hazard
health and safety procedures and practises should be under continual scrutiny and areas for improvement should be monitored and dealt with. A good method of monitoring & improving are health, safety and security procedures are visually. Check visitors have signed in the visitor’s book, look for items blocking fire exits or hallways, wet signs are in place during cleaning, COSHH cupboards are kept locked, medication trolleys are secure, hoists are clean and stored in a correct storage place. Policies and procedures need to be reviewed regularly to ensure they are still relevant, circumstances in workplace can change and new risk assessments will need to be put in place or old ones reviewed. Policies and procedures may need evaluating and developing
Moreover, the office visit length will be shortened due to the high demand of customers making it harder to provide good quality of care to patients as well . On the other hand, from the physician point of view it is predictable that doctors will change practice patterns from private offices to hospital services because the facilities pay salaries with less expectations in the number of patients seen per day. Furthermore, due to the elevated number of patients, time left for clinical documentation and record keeping will be nulle.
Letting management know about any problems right away helps a lot because the issues can get addressed immediately. “Like any job, there may be that one person you do not get along with, but as long as you do your best to just do your job and avoid drama, you will be okay,” he says. Taking care of the patients is always the number one priority in hospitals.
I THEN WALK TO THE KITCHEN DOOR AND SEE IF THE COOK HAS EVERYTHING READY AND PREPARED. THE COOK IS WORKING OFF A PREVIOUSLY AGREED MENU (AGREED BY THE RESIDENTS) ONCE EVERYTHING IS READY, I PUT ON A CLEAN APRON (GREEN-FOOD/CATERING) AND GLOVES (BLUE). I THEN PROCEED TO TAKE THE TROLLEY OF FOOD TO THE DINING ROOM. EACH RESIDENT IS REMINDED OF WHAT IS BEING SERVED FOR THAT MORNING AND IS ASKED WHAT THEY WOULD LIKE AND IS GIVEN WHAT THEY HAVE CHOSEN. ONCE THE RESIDENTS HAVE EATEN THEIR CEREALS AND SECOND WARM BREAKFAST AND DRANK EITHER THEIR CUPS OR TEA,COFFEE OR JUICE EVERYTHING IS COLLECTED AND PUT NEATLY ON THE TROLLEY AND TAKEN BACK TO THE KITCHEN.I WILL THEN REMOVE MY GLOVES AND APRON AND AGAIN WASH MY HANDS. I THEN HELP THE STAFF ASSIST THE RESIDENTS BACK INTO THE LOUNGES. I WILL THEN ASK ONE MEMBER OF STAFF TO WIPE THE TABLE MATS OVER AND TO HOOVER THE CARPET IN THE DINING ROOM, AND TO RESET THEM READY FOR LUNCHTIME, USING CLEAN UTENSILS. I ASK ANOTHER MEMBER OF STAFF TO CHECK ON THE RESIDENTS WHO ARE EITHER STILL ASLEEP OR ARE HAVING BREAKFAST IN BED AND SEE IF THEY ARE READY TO GET UP NOW AND TO ASSIST THEM AND I ASK THE THIRD STAFF MEMBER TO WATCH THE RESIDENTS IN THE LOUNGE. IF THERE IS A MESSAGE LEFT FOR ME TO RING G.P'S OR ARRANGE TRANSPORT I WILL DO THIS NOW BY GOING INTO THE OFFICE AND GETTING THE CARE PLAN OF THE RESIDENT I NEED TO CALL THE G.P OUT FOR (OR BOOK TRANSPORT), I RING THE SURGERY AND EXPLAIN WHO I AM AND WHERE I AM CALLING FROM AND THEN
Medical assistant’s have many responsibilities such as making appointments, assisting the physician, collecting specimens, and welcoming patients just to name a few. One of the most important, in my opinion, is that we are instrumental in helping patients feel comfortable in the office and
“Hair and fingernails must be clean, groomed and at appropriate length and artificial long fingernails are prohibited” (Appearance). Hair should be out of the face and up in a ponytail or bun depending on the length of the hair. Men with think beards and long hair should keep a short clean cut and also have their hair in a neat ponytail. The reason for this is to avoid possible contamination in a specimen and to avoid touching your hear or face during a procedure. Fingernails must be kept clean and short because long fingernails can harbor harmful bacteria and the medical assistant could accidently scratch one of the patients. Another thing about personal hygiene is the kind of perfume used. Strong perfumes should be avoided because it could make a patient dizzy or uncomfortable. Keeping your mouth clean is also important because the medical assistant is constantly talking face-to-face to patients, coworkers, and doctors. Having bad breath can cause the people around to feel uncomfortable, therefore, cause patients to have unpleasant
These include, but are not limited to, taking patient vitals manually and electronically (blood pressure, pulse rate, respiration rate, temperature, high and weight). I have experience in performing pregnancy tests, glucose tests, Strep tests, Flu tests as well as collecting and testing urine and feces. I have also had the practice of patient safety as well as safety for myself and my co-workers. I learned the importance of proper documentation and how it is crucial to a practice.
Before an assessment begins, make sure all necessary equipment is gathered and cleaned. Upon entering the room, always knock to maintain
Facilities – we check the facilities every day for any hazards or dangers such as wet floors/hall way and any hazards that could cause accidents such as tripping over objects or slipping on wet floors.
