In todays competitive environment, the issue of customer relations has become ever more important. With such wide choices available to the customer, the slightest dissatisfaction can easily result in customer taking their business else where. There are many methods available for an organisation to establish and maintain positive relationships with customer to help them retain their business.
Communication is one of the most important methods as it covers many aspects of customer interaction. Having good communications with customers greatly improves relations with them.This bond is created when customers know that the organisation is: Competent Confident Concerned about them Communicates with them

Staff should be trained on tis so the can deal with the customer in a formal and efficient manner to make the customer feel welcomed and valued.
Telephone Calls
The organisation should have a guide for staff when making phonecalls. It should identify the 4 main stages of a phone call which are preparation, introduction, message and action. Staff should mentally prepare what they want to say and have the relevant paperwork about the customer. Staff should introduce themselves formally and ask the cutomer if it is convinient to talk. They should then use appropriate questions to get the information that is neccesary. Acknowledgemnt should be made to the customer to show that they are listening and feedback should be gained. Finally they should outline the action that they are going to take.
Legislation
There are a number of Acts of Parliament that protect the rights of a customer when using a business. It is necessary that the company know all these acts and ensure that they are not running the risk of breaking any of them. By showing a strong interest in this legislation will show customers that the value them and do not wish them to go through any trouble. Staff should be trained up on relevant legislation including The Sale of Goods, The Supply of Goods and Services, The Consumer Protection Act and Health and Safety. If staff are educated on this then if any situation was to arise then staff would know the customer' rights and be able to handle it in
The customer service personnel should be in a position to acknowledge their clients and pay attention well to whatever they say and put into practice active listening. They should also give a chance to the customers to respond to the services the company offers perhaps through the enterprise’s website. Customer service is the most important aspect of any business. Without an adequate relationship with its consumer base, a company is at an enormous disadvantage.
The ability to communicate is one of the key factors to have a successful business. You could offer an excellent product or service, but if you’re unable to promote your services and communicate effectively with clients and co-workers the potential for growth is limited. Call centre workers must be able to listen well and communicate verbally. Speaking to customers on a daily basis we must make sure that we are able to problem solve and resolve and give any solutions to customers. On a daily basis we have to read scripts and make sure that we are offering a service that is compliant. We deal with so many different people from so many different backgrounds and we must be aware of this when speaking to them. It is important to actively listen to the customer, not speak over them and answer the questions using the right tone of voice. If a customer is angry then I will try to calm them down and try to resolve any issues within my remit.

In conclusion, managing communication in the organisation is important so as to perform basic functions. Managers should be effective communicators with high levels of fluency and professionalism and must be aware of the communication cycle to achieve team goals. Effective communication within the workplace like in the company’s technical office keeps the team involved in the delivery of customer focus which increases commitment to the organisation and make for a better relationship and understanding within the team. Customer loyalty is much harder to obtain that customer service satisfaction. The most important first step is to satisfy the customer by meeting their expectations. Customers only give a company one chance and if they aren’t satisfied they will not do business with that company again, as well as tell others of their experience. The next step would be to exceed the customer’s expectations. If a business goes above and beyond to assist the customer they begin to build loyalty. The next step is to truly surprise the customer. In order to dominate the marketplace the company must find a way to make them selves stand out with their product or service, accompanied with phenomenal customer service. Once this has been done customer satisfaction and loyalty will be gained. “Acquiring a new customer can cost four or five times more than keeping a current customer” (Bestmark, 2013). It is imperative to satisfy customers and give them an amazing experience at the company. While it cost less to sell to existing customers and companies can increase profit by selling to the same customers; if customers are satisfied, there is more chance they will come back for more services or products. Satisfied customers are a free marketing for the company. However, it is the opposite if customers are dissatisfied. Dissatisfied customer will tell 8 to 10 people about his or her experience (O’Brien, A & Marakas, G. 2004). If by any reason, representatives see that the customer is not satisfy, they should act fast and fix the problem. Furthermore, there is more chance for sale representatives to sell to an existing customer that to a new customer. A good strategy for customer retention is to reward good customers. Companies can easily do
