It is important to be in control of our paperwork; we don't always have control over what we receive in the form of paperwork and most of that tends to come from our mail. What we do have control over is how we deal with this source of clutter. With that in mind, let's look at a good way to deal with our mail. Most people receive mail six days a week, this may depend on your specific location. Sometimes there are days when all that you receive is "junk" mail - mail that serves no purpose other than trying to sell you something or get you to donate money or some other distracting topic. If I were the current CEO for the United States Postal Service, I would be gravely concerned about the future of my business, as it has recently taken a steep plummet from its success and popularity in the 19th and 20th centuries. The USPS is now faced with the decision to renovate itself due to the extreme loss of business as technology takes over the 21st Century. Some say that the USPS should be entirely reconstructed because the business is only headed further downhill, while others say that paper mail is still very practical, more so than e-mail, and we must each write more letters to do our part in reviving the business to profitability again. Professional handling of mails is vital within an organisation since it is widely used for transfer of equipment and material in the business. Improper handling of mails could result in loss of business / customers / suppliers and economic losses.
To address the problem, we need to compare and contrast the modern form of the postal service: electronic mail (e-mail). Although email is favorable because it makes communication remarkably fast and you can send things for “free”, in many ways the good old letter is better. We want to identify when and how the letter is better. Even though it is free to send an email, you still need access to internet and a computer, both in which cost hundreds of dollars, opposed to a letter where you can have everything you need to send a letter under a dollar. A letter is also hard evidence, it’s harder to forge than an email, since handwriting is unique, and typing is not. Computers can have many internal errors; the computer can crash, information can be lost or leaked to someone.
I really do detest doing this. I love you, but perhaps I will soon cease to send these letters. As you know, we Americans must now pay for every piece of paper that we use. To improve administrative record keeping, consider having a policy that helps staff understand their responsibilities in relation to record keeping, sets the standards they operate by and sets out how to achieve and maintain this standard. Having a set standard gives your staff a goal and sets out the types of records that should be kept and how to store those documents. As a result, staff will be more content in their position, improving practice staff retention. You could also consider setting regular review dates and involving staff in the review process, again giving staff greater job satisfaction.
