Greetings Mr. and Mrs. Evans, again it was a pleasure meeting you both during the meeting last Friday. I will say, it is my goal to ensure that all future meetings are on better terms. I want to thank you both for your dedication and involvement in Amanda’s life. As stated during the meeting your concerns were valid and will be addressed. I left that meeting hearing you loud and clear. I have been with EPIC formerly SMVI since October 2014, I was hired as the Director of one Day Program then promoted to Director of Day Support Services which consisted of all five day programs offered by EPIC in December of that same year. With my dedication to the quality of services and the participants being supported I was again promoted to the Chief Operating Officer position July 1 2015. I say this not to boast, but to outline my dedication to EPIC’s mission and to the program participants receiving supports and services. As the COO I am responsible for enhancing and maintaining the quality of each program and service offered by EPIC, as you could probably tell during the meeting I was not happy with some of the information discussed and will personally ensure you that change is on the way. As stated during the meeting, I am really transparent and I am fully aware that there are some issues needing attention and I have drafted a plan of correction for all programs and am in the implementation process as we communicate. Throughout the 2016 year you have readily accepted a variety of assignments in addition to your case load including: hotline assignments from other teams, response to legislative inquiries, class I rotation, priority 1 calls, courtesy face to face visits, completing a DA3a or DA3c when needed, and wellness checks for the REV Team. Aaron, you continue to accept the challenge of having new employees shadow you in the field and in the office. You also consistently respond to emails and phone calls from collateral contacts or department personnel in a timely manner. Aaron, this year you had the opportunity to take 3 weeks of vacation. You made sure your caseload was well under your control prior to departure and also met with your supervisor to review anything that might arise or require immediate assistance in your absence. Aaron, you have responded to several hotlines this year where you were met with frustration and anger from family members or friends in the RAs home. You have consistently remained calm and appropriately deescalated the situations in order to reach resolution and/or to obtain facts. Aaron, you also regularly keep the supervisor, ARMs, and RM apprised of significant issues surrounding your caseload. I have a combination of experience in every level of the Boys & Girls Club, and my skills that I believe match well with what you are seeking for Executive Director of this organization. Having met a couple of times, since you have joined our region, currently, I am a server in Gastonia whose name is Tamara Hammons. Having been with the company for 15 years and managed in Gastonia for 3 of those with James Waterman and I also managed in Charlottesville, VA. Unfortunately, just as you were stepping into position, it was necessary for myself to step down from mine. Although, I enjoyed management greatly, consequently, having to step down was a very difficult decision that was not taken lightly. Ann, as follow up to our conversation concerning the excessive amount of leave approvals that were submitted outside of EPIC’s approval time and not in accordance with policy for your department. Although I do understand LaShell was the direct supervisor, however, please be mindful as we move forward that some type of checking/reminder system is implemented for your team to assist in the process and to ensure incidents like this don’t occur.

I just wanted you all to be informed that Sandra Adams will be on a temporary leave after today and this will be at least until the end of January. Sandra is in a prime merge of system/companies with her new day job and they will have to work mandatory overtime on the spot. She will need to make herself available for this and she has asked to be removed from the schedule through the end of January. Sandra will update us mid-January with how things look.
