1. Reflection
As we reach a milestone in the XYZ Business Workflow project, it's essential to reflect on our journey thus far and analyze both our successes and areas for improvement. Overall, our team has demonstrated resilience and adaptability in the face of unforeseen challenges, successfully delivering Release One. Our effective communication, stakeholder management, and proactive risk mitigation strategies have contributed to project progress. However, there were instances where delays in client approvals and unanticipated complexities in feature development impacted our timelines and resource allocation. Moving forward, it's imperative to leverage these insights to refine our project management approach, enhance collaboration, and ensure smoother execution in subsequent project phases.
A. Successes and Failures
Throughout the XYZ Business Workflow project, several successes and failures were evident. One of the notable successes was the successful completion and delivery of Release One
of the software solution, despite facing unforeseen challenges and delays. Despite encountering complexities during the development process, the team persevered, made necessary adjustments to the project plan, and worked diligently to meet the milestone. Additionally, obtaining stakeholder approval for resource and schedule adjustments demonstrated effective communication and stakeholder management, contributing to project success (MindEdge, 2024).
However, there were also notable failures and challenges encountered during the project. Delays in obtaining client approvals and unforeseen complexities in feature development led to schedule extensions and increased resource allocation. The need to work extra hours and
3
weekends to accommodate changes and complete the project on schedule indicates a failure in initial planning and risk assessment. Moreover, the resignation of team members and subsequent productivity loss highlights the importance of effective resource management and succession planning in project execution, areas where the project fell short.
Moving forward, it's imperative to address these failures by implementing lessons learned
and refining project management practices. This includes improving risk management strategies, enhancing resource allocation and succession planning, and fostering a culture of adaptability and resilience within the project team (MindEdge, 2024). Despite the challenges faced, the successful delivery of Release One underscores the team's capabilities and resilience, providing a
foundation for continued improvement and success in subsequent project phases.
B. Major Challenges
Throughout the XYZ Business Workflow project, several major challenges were encountered, requiring proactive measures for resolution. One significant challenge was the unanticipated complexity in feature development, particularly with Feature 2 (F2), which required more time than initially estimated. To address this, the technical team lead evaluated resource allocation and made adjustments to the project schedule to accommodate the extended development time (MindEdge, 2024). Additionally, the challenge of feature customization (C3) duration was mitigated by assessing task dependencies and reallocating resources to expedite completion while ensuring quality standards were maintained.
Another major challenge arose from delays in obtaining client approvals, resulting in a one-week extension of UI design and development. To mitigate the impact of this delay on

Lack of Scope Definition
Findings
Sponsor View: Projects start with a high-level idea that has been defined and proposed in business terms, not project terms. Sponsors are focused on their customers and competitors, and do not think in terms of “scope,” much less in terms of “scope management.” Likewise, sponsors are typically not familiar with the concept of project charters, which explains why project managers usually create them. Sponsors rarely think that their scope is undefined, and they expect others to quickly match their level of understanding. They have been planning and thinking about their business needs, sometimes for months or years, and expect project teams to get up to speed fast.
Project View: The high-level scope is best documented in a project charter and expanded in the scope statement. These high-level views are not sufficient for understanding scope until a decomposed deliverable-based work…

The team has a detailed scope statement, but you want to make sure you are not forgetting requirements that might affect how people view the quality of the project. You know that the project’s sponsor and other key stakeholders are most concerned with getting people to use the new website, having successful events, and helping promote entrepreneurship across the globe. You also know that various geographic and cultural issues will need to be addressed.
2. Based on the list you created for Task 1, determine how you will measure progress on meeting the requirements. For example, you might have people take a survey after they view the online training videos to collect feedback.
