2 5-1 Department Memorandum 2: Organizational Communication Memorandum To: Chief Executive Officer From: Alberto Rosales Date: 2/7/2024 Subject: Developing a plan to enhance communication, both within the organization and with external stakeholders. Upon instruction from the Chief Executive Officer, I am presenting this memorandum to explore methods for enhancing internal and external communication within our department. Given our current challenges in organizational communication, it's imperative to address and rectify this issue promptly. The topics to be addressed to assist in resolving this matter include: Establishment of an internal communication strategy. Establishment of an external communication strategy. Explanation of the significance of communication within an organization. Explanation of the impact of ineffective communication on an organization. Explanation of the manager's responsibilities within the communication process. This memorandum will encompass all five of these components with the aim of enhancing communication within this department.
3 5-1 Department Memorandum 2: Organizational Communication To enhance communication within this department, we will employ the SWOT method, which evaluates Strengths, Weaknesses, Opportunities, and Threats encountered by an organization. Rectifying this issue requires fostering open communication channels to identify optimal solutions. Additionally, clear communication is essential for aligning with our objectives and optimizing organizational investments within our current budget constraints (Roi, 2023). I kindly request each employee to participate in answering a questionnaire. This questionnaire will serve as a tool to identify areas requiring improvement in addressing our communication challenges. It will prompt you to describe your job responsibilities and daily tasks. Additionally, there will be sections where you'll be asked to rate various scenarios, ranging from "most likely" to "less likely." Your input will be invaluable in pinpointing areas for enhancement. Statements: The objective of this endeavor is to enhance performance within this department. Considering our performance, are we meeting our expectations? The data gathered will undergo a gap analysis to assess the significance versus the performance. This analysis aims to understand the managers' perspectives on importance and how it aligns with the department's performance. Four internal communication principles will be examined to identify their potential contributions to enhancing internal communication. These four areas are as follows: 1. High importance - High performance 2. High importance - Low performance 3. Low importance - High performance 4. Low importance - Low performance
