Role of Communication Team
The communication team is responsible for creating and executing a communication plan that addresses
the business problems and goals of the organization. A communication plan template is a document that
outlines the objectives, strategies, tactics, and evaluation methods of the communication team. It helps
the team to organize their tasks, coordinate their efforts, and measure their results.
Business Problem Identification
The product has two issues: one external and one internal. The external issue is about the braking
sensor, which was fixed before the launch. However, a bad review by a tester went viral and influenced
consumers’ opinions. This is an example of the Spiral of Silence Theory, where people follow the
dominant view even if it is wrong.
The internal issue is that employees ignore the monthly newsletter that informs them about the staff
changes. This leads to stress, rumors, and false information. This shows the Agenda Setting Theory,
where the frequency of communication affects the perceived importance of the topic. Employees do not
care much about the matter because they only hear about it once a month.
Proposed External Communication Solution
To address the review problem, I would contact the user politely and explain the brake censor solution. I
would tell them that they got the prerelease bike for us to get their feedback as exclusive beta testers
before we launched the final product. I would invite them to try the new product for free and give some
more to their family and friends. I would ask them to revise their review after trying the product. I would
also reply to the review, thanking them for their input and sharing how we fixed the issue, informing
other potential customers.
Proposed Internal Communication Solution
To improve staff engagement with the newsletter, I suggest the following strategies:
Ask staff for their preferences and suggestions regarding the newsletter content. Feature a
different employee every month in the newsletter to make it more personal and relevant.
Reward staff for reading the newsletter. For example, have a monthly prize draw for those who
find hidden clues in the newsletter.
Change the format of the newsletter to make it more appealing and accessible. For example,
send it by email, or make a video newsletter that can be posted on the company website or
social media platforms.
Replace the newsletter with a monthly all-staff meeting for the most important information. This
will allow staff to interact directly with each other and the management, and to better
understand and remember the information.

Supporting Theories
For external conflicts, I rely heavily on the Media and Mass Communication theory. It underscores the
influence of media on public opinion and behavior. Conversely, the Compliance-gaining Strategies theory
is my go-to for internal conflict resolution. It focuses on persuasion tactics to achieve compliance within
an individual or organization. In essence, these theories guide my conflict resolution strategies, providing
insights and tools for effective resolution, whether the conflict is internal, external, or within a broader
public sphere.
External Solutions
The communication theory I’ve selected underpins my strategies for resolving external conflicts. It
emphasizes the importance of digital media communication when engaging with large audiences,
whether it’s during the review process or via a separate platform.
Internal Solutions
The communication theory I’ve selected bolsters my approaches to internal conflict resolution. The
impact of these strategies is crucial in enhancing interaction with a primary audience.
