Testing and Implementation for XYZ Clinic

The XYZ Clinic will perform testing and training with their new system starting in April
2016. The team lead has designated Wednesday afternoons for training because the clinic does
not schedule appointments for Wednesday afternoon. This will help with our testing and training.
Our office began picking a team and leader in November of 2015. The office manager will be the
lead and that person will work closely with the vendor to set up testing times, training times and
following through on training methods. The team and lead will then begin their training with
paper handouts and computer modules for each department.
The method we will use to unveil
our new system will be the parallel processing method. April 6, 2016 will be our first meeting as
a whole office to see the new system and get an overview of how it works and what is all
included. Following training and testing sessions will be held on April 20, 2016. This will
include specialized training at each computer. Each employee will get a chance to “run through”
a patient mock up and perform their duties on the new system. The week before, April 11,
computerized training modules will be set up for employees to view and quiz themselves on.
These modules will give employees a chance to see what their job is and how their screens will
look with the new system. The training modules and short videos will be provided by the vendor.
The team will start reviewing this information as soon as we can receive it so we can learn the
system and spot possible issues.
April 6, 2016 will be a mandatory meeting starting at noon until four and including lunch.
This session will be the first chance the employees get to see the new system, follow a patient
through the whole process from registration to billing, see training material and ask questions.
We will then reinforce the “go live” date of September 14, 2016. This date is chosen because we
are able to get all the training accomplished, finish summer vacations and prepare for the cold
and flu season. Our approach to testing will be using the parallel processing method. This way

we can compare reports to see how close they are to each other and identify possible errors or
blanks within our information. The parallel processing method will be addressed and explained
at this meeting. Our office will start parallel processing in July of 2016. By starting in July, we
give ourselves plenty of time to test run patients and see how our new systems compares to our
current system. In July we will parallel process one quarter of our patients so employees can get
used of the system and the double work of entering information into two systems. August and
September the office will parallel process all patients so we can get a clear picture of the new
system and any potential errors that may arise.
The week of April 11, 2016 computer modules on how to use the system and paper
handouts will be given to all employees. The modules will explain the system as a whole then
break down information to each respective department. Employees are more than welcome to
view other department videos so they can better understand their role in the system. These
modules will be available to employees to use at home. It will be strongly encouraged to view
these modules and relate that their learning now cuts down on stressful training later.
April 20, 2016 will be our next mandatory meeting at noon on that Wednesday. Lunch
will again be served as an incentive and a thank you for the training and testing done by all
employees. The vendor will be available at this meeting to answer any questions related to the
program and its use. This meeting will be dedicated to hands on learning for each department.
Employees will get a chance to “run through” their role and process a patient. It will be like how
we will process patients in July when we do the parallel processing. The employees will then
receive an evaluation to see how much they have learned, how they liked the learning process
and what they would like to see for training right before “go live”.
