Project Concept Document I. Business Justification State the reason this project is needed and what problem or issue the project will resolve. Describe the impacts to the organization if the project is not approved. Company Growth As the company continues to grow and expand, it has become prevalent that there is a stress being pushed upon the network. With there only being one server in the open, multiple machines that are outdated, and the only way of data transmission being by email, there is a large sense of the companies network infrastructure being extremely outdated. By expanding the network, not only will you be able provide better network connectivity inside of the main office, but employees at the small studio will also be able to have access to the network and data stored inside of the servers. The impact that will ensue if the changes are not made are devastating as the company will begin to lose valuable time while waiting for network bandwidth to ease up. III. Project Description Provide a high-level overview of the project objectives. Include a brief list of desired project outcomes. Expand the network, increase the infrastructure and technological footprint of the company. The company seems to be operating simply off wireless routers and modems, which works for smaller businesses, but will ultimately limit their ability to operate as they grow larger and begin to expand. Initially, I would like to incorporate a couple of switches, a server rack, and upgrading the server machine so that it can virtualize a few file servers that are accessible from different locations and upgrading the wireless network feasibility. Ideally, I would like to enable the main office and studio the ability to seamlessly transfer documents/spreadsheets, projects, and digital media to the server from whatever location they might be. The machines would ideally need to be upgraded as well as they are solely running Windows XP and need to be modernized to handle current digital media requirements. When it comes to upgrading the server, and enabling the options for virtualization of servers, you immediately gain access to multiple different avenues of storage media and organization of the network. I would like to plan out a successful upgrade plan that would enable the company the opportunity to continue to grow. IV. Project Costs Provide high-level estimates if known. Material and upgrade costs $10,249.99 - 17 custom built machines, capable of running current software and upgraded components that future proof the organization. i.e Ryzen 5 Processors, b450 Motherboards, Nvidia graphics cards, 32 gb of RAM, and a terabyte of solid state storage per machine. $4009.77 – Dell Precision 3930 server rack, Intel Xeon, nvidia quatro graphics, 64 GB ECC RAM, 10 TB of 3.5” HDD’s, 512GB NVMe M.2 Boot drive, running Linux Ubuntu Server OS $875 – 25 rolls of 50m Cat 6 ethernet lines. $249.99 TPLink 28 port gigabit switch $299.98 – 2 x TP Link wireless gigabit router $279.99 Sysracks 15u Server cabinet with locking door $1899.95 – 5 x Brother HLL5200DWT wireless business class printers $3499.99 Labor to install network, run lines, virtualize servers and set them up on company machines, and routing 3 network printers, 2 local printers. I am offering the deadline of June 5, 2023, on this day of May 20, 2023. Should you agree, we would need to have a 60% deposit of the total ($12,638.80) in order to begin working on the project. This project is guaranteed to propel the business towards faster efficiency of work and better connectivity. Project Concept Document—page 2 Section Two — To be completed by the business unit manager or project manager VI. Planning Estimates Provide a high-level estimate of project completion. Project Estimation Upon approval: We can ensure completion of the studio within 4 hours of beginning; this will require the studio to be shut down and moved to remote work from home for whatever date is scheduled. We plan on running the ethernet lines through the walls to ensure clean installations of printer, 2 machines, and the wireless network router. In order to efficiently configure the network at the main office, it would be effective to complete the operations and project on a weekend where we are not interfering with business times and creating downtime for the employees that are located here. We will install the remaining 4 printers, 3 network printers, one local printer which will be located at the front desk. The 15 remaining machines will be installed through the various workstations and hooked up accordingly. The switch will be installed near the server rack and cabinet to ensure that the machines can utilize the efficiency of a LAN. The wireless router will be configured at the end of the network path which will allow the usage of wireless printers. All machines will be connected via LAN cables for speed and efficiency. The main server will be configured to allow for data storage, and we will virtualize (4) servers. 2 file servers will be granted for employees to store backups of their work, documents that need to be transferred from site to site without the need for emailing all spreadsheets, and an email server that will allow for quick email usage and backups of communications. Lastly, we will configure a server that will store all the recorded phone calls throughout the business so that they can be easily accessed in the need to review a phone call for client satisfaction or confirmation that employees handled a situation correctly. Within 24 hours of beginning the main office project, we can ensure that the network and firewall are configured correctly, managed, and ready for immediate use upon employee return on the following Monday after we complete the work. During the week following the installation, it would be wise to allow us the time from 5:00 PM EST to 8:00 PM EST each day to monitor the network activity and use of servers so that we can ensure that things are working properly. On the Wednesday during that week of testing, once we have ensured primary functions are properly working, we would like to simulate a power failure to verify that the hardware is working as it should and rebooting into the proper configurations and not entering safe mode. This will ensure that even in the event of a power outage, your data and security settings are properly rebooting. After the final week of testing, we will provide MSP services per company policy for (6) months. After the 6-month period, you can subscribe to consistent managed IT services for your company to ensure that there are no issues proceeding. VII. Business Areas Impacted List all business units impacted by this project. Areas of impact In order to effectively ensure that everything is correctly configured, we would need to have the operations of the studio shut down and moved to remote access for (1) business day, and we can ensure that the main office will not have to close for us to configure the changes. We are available to perform these upgrades and changes over the weekend while the main office is closed after configuring the studio. This plan will reduce impact to business times and leave very little down time. Section Three — To be completed by the review committee
