1.1 Describe the main types of electronic message systems Two of the main types of electronic message systems are as follows: E-mails, these work by the message leaving your inbox, it is then transferred to a number of servers before it reaches the other persons inbox. During this time it passes through a few servers, some of which save the email for future reference, faxes are another type of electrical message system, this works by drawing the documents through it, scanning them and saving digital images into memory. When I look at my inbox after I have filed away the emails I have dealt with, I know what is outstanding just by looking at it. Also another good reason for filing away is that you have the email on file to produce as evidence should anything arise. 2.2 Check system for messages The benefit of checking your messages system for messages regularly is that nothing will be missed out. I have my emails configured to send me a notification, or some sort of pop up display when I receive an email. This stops me from missing any emails, especially important ones 2.3 Respond to messages within agreed timescales The benefit of responding to messages within agreed timescales is to be efficient. Agreeing sensible timescales also gives the other party a timescales for you. 2.4 Delete messages when dealt with This is to purely avoid confusion. If you do not delete messages then divert your attention to something else you will come back to your inbox and forget what that message is, weather it had been dealt with, deleting messages stops you having to reproduce work which has already been completed. But deleting your message isn’t efficient. As Staffords limited, I file my messages away into a network of folders and subfolders; This is the same as deleting them as they are not in my inbox.
