Introduction:
The purpose of this report is to look into the databases and software that are used by Kean University’s offices of Financial Aid, Registrar, and Student Accounting. In interviewing Scott Martin, in the office of Computer and Information Services, our group has gained insight into what the department does and how, along with how the procedures could be improved. We also interviewed Mukesh Patel, who is in oversees information system operations for the Office of Financial Aid. The main purpose of this paper is to discuss how Kean has used information systems and databases to improve productivity and quality in the last 3-5 years. Later in the paper, we will discuss Scott’s recommendations along with suggestions of our own and specific courses of action to increase quality and efficiency. Kean University has been around for over 150 years. It is the third largest public university in the state of New Jersey, and the largest producer of teachers in the state. It offers over 48 undergraduate and 35 graduate programs, with over 85 options for graduate study. There is one main location in Union, New Jersey, along with a Kean at Ocean Campus branch, located in Toms River. Recently, Kean University has also opened a campus in Wenzhou, China. Kean is home to around 16,000 students and approximately 342 full time faculty. Kean University is a public university located in Union, New Jersey and was founded in 1855. Kean University offers many different services to their students enrolled, including one of the most popular department on campus, The Office of Financial Aid. The Office of Financial Aid is devoted to offering different services and information to students attending Kean. Located on first floor of the Administration Building, The Office of Financial Aid is open Monday through Saturday and offers phone hours Monday through Friday. Students can schedule an appointment, where they will have a chance to sit and speak with a financial counselor.

I am working as an IT manager in the company and conducted the research about the ongoing cost of the paper material and its effects on the efficiency of the workplace and the working activity. The research provided an overview that paper-based processes are leading to various issues in the company. The key problem is that the paper-based procedures include the treatment of physical document(s), photocopying, filing, and recovering physical document(s) from a file organizer.
