A meeting agenda ensures that the meeting will be a productive use of everyone's time. It can focus the attendee’s efforts and provide a structure to accomplish the meeting purpose. It defines outcomes, and important information, attendee roles and responsibilities and a meeting timeline. It allows attendee’s to prepare for the meeting as it is made available a week before. It also works as a checklist of those attending, goals and topics for discussion to make sure that all the necessary information is covered and keeps team members focused on the specific goals and stay on track with the subject matter.

It would be greatly appreciated if you could have these things gathered before the meeting on May 24, 2012. Thank you for your time and efforts to make this meeting happen.

The meeting is set up to go for two days and the agenda is set up to go through each person at a fast pace but allowing for a thorough discussion on each matter. In an organization, meetings take place on a regular basis. Today’s organizations are built around people, so interaction among team members, inter-team, inter-department etc. are very common. The meetings cost organization in terms of time, money, and manpower utilization. Hence, effort is made to make the meeting process more effective.

This group will plan to meet monthly as the project is implemented and rolled out.

SCID 23201 will support transparency data for this event. However looking in to this tonight I do not feel this is the appropriate action to take.

An additional point that I would like to add is: Ensure all invited are relevant to the meeting, they can either provide guidance, provide input or are impacted by the outcome (outcome might not be relevant unless they can impact change). I say this as 40% of all meetings I have to attend, can be summed up in an email ( I can't do any of the above items (It's only informational at this point).

There is a file called the Meeting Notes 1: this consists of the agenda we had for our first meeting, each meeting should have one and an overall summary of what we have done and notes (which Mina will add to the document, thank you so much for taking them), as well as the “obligations” of all group members for the upcoming meeting and the upcoming agenda along with the things we will do.

District 1 Commander, Captain Mock will attend this meeting. We are currently working on the agenda and will send it before the meeting.

Meetings can be used in different ways and can have different agenda’s to others. They can be used to inform, seek ideas, clarification, resolve problems, discuss proposals, settle disputes and take decisions.

The group now discusses more than just the schedule as you will see on this year's agenda. The annual get together now discusses important issues
