Grading Procedures TRANSFER GRADES: It is suggested that each school come up with a procedure for recording transfer grades. These procedures should indicate a timeline for teachers to input a student’s transfer grade into their gradebook, who is responsible for sending transfer grades to the teachers, and who is responsible to follow up to ensure that the transfer grades have been input into the teachers’ gradebooks. (The language below can be copied and pasted into the body of an email to send to teachers when emailing a student’s transfer grades.) Inputting transfer grades in PREVIOUS quarters: o Go to selected quarter. Create a new assignment titled “Transfer Grade” in the product category out of 100 max/1 points. Enter the student’s transfer grade. Inputting transfer grades in the CURRENT quarter: o Input student’s transfer grade in for each assignment in your grade book up to the point that the student enrolled in the class. For example, if the transfer grade is an 83% and the assignment in the gradebook is a 10-point assignment, you would enter an 8.3 for that student’s grade. In addition , make a note in your gradebook under the transferring student stating which assignments were entered as transfer grades as documentation that the student did not actually complete the assignments. NOT ENROLLED (NE): The Not Enrolled (NE) code should only be used when a student transfers into a class after the school year is already in session and they were not previously enrolled in that class. The counselor should inform the classroom teacher when to use the code of NE. For all PREVIOUS quarters, enter NE into at least one assignment. The student’s grade will remain NA. No further action is necessary. The quarter(s) that the student was not enrolled will be greyed-out on the report card. For the CURRENT quarter, enter NE in any assignments PRIOR to when the student enrolled. Continue grading the student from that point forward. o If it has been determined that the student will earn an NE for the current quarter, enter NE for all assignments. The student’s grade will remain NA. (This should be a decision between the counselor and administrator.) o Go to report card, edit final grades and comments, and change the student’s grade to N under final grade. General Procedures: Incompletes should only be issued to students for extreme circumstances and should be authorized by the principal or designee prior to issuance. Remember that for every incomplete on a report card, a grade change form must be completed and approved. Students enrolling with partial credit from another system in a previous year (.25 or .5) must be awarded this credit.
o If a student comes with a partial credit from a previous year, the credit should be transcribed as an elective credit. When appropriate (current year or following year), place the student back in the course they earned partial credit for. This is necessary in order to earn the full credit needed to meet MD graduation requirements. Enroll students experiencing homelessness and in foster care immediately. Request records from previous school. o In the absence of records, enroll students in classes based on graduation requirements and age-appropriate grade level courses. o If updated records arrive, and/or credits are discovered, move students into appropriate classes immediately and without penalty, regardless of drop/add deadlines. Students entering after Third Quarter Interims: Students entering after third quarter interims with NO grades or evidence of school attendance for this year – Audit courses for the remainder of school year Students entering this late in the school year will not earn credit for any yearlong course enrolled Students entering after third quarter interims and enrolled in a semester course will be able to earn credit Please enroll students in appropriate courses that will be audited for the rest of this school year (no credit) Information on all students identified for Audit courses MUST be emailed to the Supervising School Counselor who will forward the information to the Pupil Data Accounting Specialist The Pupil Data Accounting Specialist is the ONLY person who can Audit a student in Synergy Please notify students/parents that they will not receive credit for the courses enrolled and will be required to repeat the same courses next year to earn a credit
