Be specific in your plan. Include the participants, the methods for any data collection and analysis, how you will present your findings to business leadership, etc. Plan to Implement Process Optimization Process optimization is “the systematic approach of analyzing and improving business processes to achieve maximum efficiency, effectiveness, and quality” (Numminen, 2023, para. 3). The overall goal of process optimization is to improve an organization’s productivity and operations all the while reducing waste. This is a critical step in Disney’s HR processes and systems because it ensures that the company can operate efficiently and maintain the high standards and reputation that it so tirelessly works towards. Optimizing processes allows Disney to focus on strategic initiatives and set goals that drive growth. The following is a plan to implement process optimization at Disney: Participants o A cross-functional team consisting of cast members from each department of the company who will learn how to implement process optimization in their departments o Representatives from leadership who will be responsible for communicating the changes o Cast members who will conduct process optimization after it is implemented o A team of HR professionals who are responsible for answering any questions or concerns with the process optimization Methods for data collection o Evaluate metrics for both qualitative and quantitative data related to Disney’s operations. These metrics could be guest feedback, employee satisfaction, productivity levels, etc. (Kissflow, 2023) o Interview cast members from each department to gain insight into their thoughts about which processes should be optimized o Conduct an audit of current policies and processes o Observe processes to determine areas of improvement o Process mapping Methods for analysis o Examine the data for patterns and trends o Rethink the identified processes and examine its purpose o Using techniques such as descriptive statistics, data visualization, correlation analysis, or machine learning o Interpret data analysis results through the optimization objectives o Determine areas of strength and areas of improvement/potential How data will be presented to business leadership o Write a report outlining the objectives and results of the data collection o Present the findings to leadership in a presentation discussing the purpose, findings, and ways to improve the process Organize the presentation into a story that guides the audience
Include visual aids such as graphs, tables, or diagrams Explain clearly why the data matters Connect it to revenue Provide information on further analysis o Following the presentation, provide a copy of the report to corporate leadership Benefits o Cost Reduction: Identifying inefficiencies in existing processes and systems can save the organization time and money. Implementing changes will enable Disney to operate more efficiently and allocate resources more efficiently. o Increasing Productivity: Removing inefficient processes can increase productivity by cutting out extra steps or streamlining the processes (Numminen, 2023). Doing this can help increase the execution of the strategic initiatives and meet benchmarks and deadlines in a timely manner. o Improved Quality: By standardizing processes and eliminating obstacles, process optimization can improve the quality of work and consistency amongst products. This can lead to increased customer satisfaction and loyalty to the Disney brand and products. o Reducing Problems: Process optimization helps reduce current and future problems. This allows the processes to run smoother resulting in increased productivity and efficiency because workflow can be completed with fewer issues (Indeed Editorial Team, 2022). That means efforts can be focused on other processes, strategies, and goals. o Increased Competitive Advantage: Optimizing processes can give Disney a competitive advantage over organizations who do not utilize this step. Reducing costs, increasing productivity, and improving quality, resulting from process optimization, allows organizations to differentiate themselves in the marketplace and attract and retain top talent. Challenges o Reluctance to Change: Cast members may push back against new processes and systems that they are not familiar with. Change is a huge step for many cast members who have the “we’ve always done it this way” mentality. o Inadequate Training: Process optimization can only function successfully if those who are involved are trained properly. Sufficient training is crucial to the success of process optimization. o Unrealistic Expectations: In the beginning, goals could be set that are way above what could be achieved. It is not uncommon to have large goals to achieve efficiency, but those may lead to the opposite of what is desired. Different methods of process optimization o PDSA Method: a four-part cyclical system that helps improve the quality of processes; includes Plan, Do, Study, Act o DMAIC Method: a cycle of steps used for data-driven strategies; includes Define, Measure, Analyze, Improve, Control o Kaizen Method: a technique that is often used in conjunction with the PDSA method that improves business functions by promoting faster deliverables and safety measures, improving job satisfaction and the productivity of a team, improving every business
