Part A – Strategy Analysis Future State Description
Scope of the change: The aim of this project is to reduce the errors in customers order and fasten the procedure of sending orders to warehouse by using internet.
Capabilities:
This system will be the time saving. It will send order description quickly to warehouse worker just in one click and warehouse can instantly send notification to store associate about the pickup after getting order ready.
It will mitigate errors frequency which was the main issue in manual order taking process.
It will enhance the communication and collaboration between store associate, store manager and warehouse staff.
Store associates can easily check the inventory level in the store and can escape from out-
of-stock circumstances. Processes:
This new system will wipe out all the hurdles from order taking to order pickup. Firstly, by utilizing tablets which will be connected with order builder app a store associate will take order from customers by recording order details like quantity, colour, customization, and customer profile details such as name, contact information. After reviewing and confirming, via internet the order will sent to the warehouse staff which will pop up on the large wall- mounted tablet. Then warehouse staff make sure all items are available and then prepare items for pickup. After that notification will be sent to store associate for pickup. Ultimately, at the time of pickup store associate will help customer and make sure order is complete and customer is satisfied. This order Builder system will make order taking and order preparing process easy and smooth. Resources and Organization Structure:
Sales associate will be responsible for taking orders properly and accurately via Order Builder System.
Preparation of order and informing sales associate for pickup will be the responsibility of warehouse staff. They will check all ordered items and they get ready everything for customers pickup.
Store managers play a crucial role in decision-making, particularly concerning the configuration requirements of the Order Builder system. They have the authority to set up
how the system works, including menu options, user profiles, and other settings that impact the order fulfillment process.
Technology:
Tablets with the Order Builder app for sales associates and warehouse staff.
Desktop computers for configuration and management tasks handled by store managers.
Wireless Internet connectivity for tablets to communicate with each other and the Order Builder system.
These technologies will support smooth functioning of Order Builder Software for order fulfillment procedure.
Dependencies:
The tablet devices that will be used for taking orders, make sure they will work well.
Wi-Fi connectivity and internet speed should be adequate and fast, make sure these internet connection does not delay notifications passing between sales associate and warehouse staff.
The smooth utilization of this software is also depending on way of usage. Consequently, to make users familiar with this system, training will be provided to them. Constrains:
The company may have limited budget that can affect the choice of tablets, desktops, and other hardware.
There could be timeline within the Order Builder system needs to be implemented.
The Order Builder system must perform efficiently under various load conditions, including peak business hours. Performance constraints may require regular monitoring, optimization, and potential upgrades to maintain system reliability and responsiveness.
Training will be provided to users so; availability of trainers can also be a constrain in the
process of implementation of new system.
External Influences:
The implementation process can be influence by vendor. If vendor provide timely assistance, updates, and solution to any issue efficiently, it can contribute to smoother implementation and vice versa.
Technology can also influence implementation process. For instance, new versions, updates, and poor internet connection can influence the Order Builder software’s performance.
Feedback and satisfaction of customers can also influence this new order taking system. Make sure that system has features that matches with customers preferences. It can improve customer satisfaction level.
Assumption:
We assume that everyone will adapt this new system quickly because it is beneficial for all. So, hope that they will not resist this change.
It is assumption that training will be efficient and effective in guiding users about utilization of new system.
We assume that Order Builder system will improve all issues in order process and improve collaboration between sales manager, sales associate, and warehouse staff.
It is also assumption that this system will increase customer satisfaction because they get ordered items accurately at time. Part B - Requirements Analysis and Design Definition
