SUMMATIVE ASSESSMENT #2 1. Memo (500 words) To: Landal From: Mackenzie Mager Subject: Writing Accessible Documents Date: March 16, 2022 Dear Landal, The purpose of this message is to go over how to write an accessible document and the importance of accessible documents in a business setting. Below I have detailed the key points to keep in mind while writing an accessible document. When writing an accessible document there are key components that must be included to ensure it is accessible for every reader. When beginning to write the document be sure to include alt text to images or charts for the visually impaired readers to understand. Make sure to add a table of contents at the beginning of your document so that readers can easily navigate throughout the pages. When embedding links in a document include a link description for people who cannot directly click the link. Another option is embedding the links as the description itself so the reader knows what the link will lead them to before clicking (Ryerson,2022). This allows readers to know what the link's purpose is and what they will be accessing. When making lists or points make sure to add bullet points or numbers so it is easy to read and understand. Writing clear and understandable sentences with 12 point font or bigger ensures the reader can understand the message of the document. Creating headings for each topic and subtopic will allow readers to identify the key ideas of the document and where they can find the information they are looking for. When using tables or charts they can be difficult to read and understand, to make this easier you can add high contrast colors and textures (Ryerson,2022). Lastly, it is crucial that the document is created as an accessible document under the options tab as well as downloaded to an accessible PDF format. The implementation of accessible documents is essential in the workplace. They are used to ensure equity, diversity, and inclusion are considered in a work environment. About 3 in 100 people need to use a screen reader to read documents due to visual difficulty (Bucci-Muchmore, 2016). Therefore it is crucial all documents are created to be accessible to everyone. It can be frustrating for individuals that don’t have the resources they need making it very challenging to complete their tasks. The goal of accessible
documents is to provide everyone equal and fair resources that allow them to complete their tasks and not feel left out or discriminated against. Creating a safe and comfortable work environment is very important to the well-being of employees as well as the success of the company. At Monarchy we want to ensure each and every employee has the resources they need to perform their job to the best of their ability and feel comfortable and included daily. Reflection (250 words) When writing the memo for the accessible documents I wanted to focus on having concise and descriptive sentences. In the previous summative assessment, I found that revising your writing and having concise easy understandable sentences were the most effective at getting my point across. In the memo, I first introduced what the purpose of the email was, that way the reader can determine whether or not they will continue reading or not. I tried to get the reader’s attention and entice them to read more. Following my introduction, I began describing the key points that are necessary for accessible documents. Although this portion is longer and more detailed, I tried to keep each point simple and concise so the reader can understand each point quickly. After giving a detailed explanation of accessible documents I explained the importance of inclusivity, equality, and diversity in a work environment. When talking about this topic I tried to have good word choice and tone so that the reader can understand and sympathize with what I was saying. Similarly, I ended off the memo with a closing statement that leaves a positive note for the reader. I made sure to include the option for the readers to reach back out if they have questions. By doing this it makes the reader feel comfortable with reaching out and not feeling like they are a bother. When revising my memo I made sure it flowed well and made sense. I checked for run-on sentences and useless information. The memo demonstrates my ability to write a concise and understanding message that considers tone and the reader’s emotion toward the topic.
