Information Systems in Recruitment
Summary: Several researches and studies have been conducted to demonstrate the effectiveness of technology in the recruitment process. This project explains what recruitment is, the growth of recruitment from how it was two decades ago to using technology today. The work done in this paper identifies the advantages and disadvantages of e-recruitment and discusses e-strategies to overcome the disadvantages. The adoption of these e-strategies helps advantages of internet recruitment outweigh the disadvantages. The conclusion reached in this work is based on several assumptions which might have caused the results to vary from the actual results of detailed works done in this field before.

The recruitment process begins with human resource planning where a company identifies the right number of people needed to perform the job. Khanna & New (2005) explain that” HR planners can influence the HR planning process so that resource decisions are made with due thought and the organization does not hurt itself by either undercutting its talent pool or retaining excess flab. HR planners should take this mission seriously if they want to have any control over the changing face of the organization of the future”. Hence HR planning is an important activity as it involves forecasts of the manpower needs in a future time period so that adequate and timely provisions may be made to meet the needs (Seetharaman & Prasad, 2009). The process of human resource planning usually involves forecasting labor demand and labor supply and performing a gap analysis. Once when a vacancy is identified, the recruiter receives an authorization to fill it. A job analysis is done to identify the critical knowledge, ability, skills, and other competencies (KASOC) required for performing the job. There are two sources of recruitment – Internal and External. “In earlier days, for external recruitment, recruiters used low tech methods like advertisements in newspapers, magazines and journals, radio, Employment agencies, campus visits, etc in search of potential candidates. With the increasingly wider reach of the internet, more and more companies are turning to online platforms for recruitment and selection of candidates. Recent studies tried to understand the different impacts and implications of this new approach for companies and prospective applicants (Bauer, 2006; Parry and Wilson, 2009). A survey research conducted by Chapman and Webster (2003) indicated that the Internet was the preferred medium of HR professionals when recruiting candidates for many positions across different industries.
The research aims to gather information about recruiting methods through Internet or traditional means. Therefore, I found interesting articles and books that can provide excellent information about how to recruit either through Internet or traditionally. Where the HR function is large, there would typically be a HR Director within the structure that works with the other top level executives to analyse the organisation in order to determine and plan its staffing needs to achieve the long term goal and strategic aims. It is at this level where other options should be explored to determine the actual need to recruit as there may be other options for the organisation such as job redesign. The area of staffing falls within the HR function where the recruitment and selection of human resources for the organisation is carried out. On selection, Recruitment advisors are involved in developing and administering methods that enable managers to decide lawfully which candidates to select and which to reject for the given jobs.
According to Wright et al (2011) recruitment and selection are part of the human resource practices common within organizations in an effort to develop human capital, which is necessary for better production. Numerous scholars have discussed the issue in different contexts. Pramila (2010) discussed the issue of recruitment and selection in an Indian- based company. The article presents effective recruitment practices, which are valuable for organizations. Among the identified practices include internal recruitment, interviews, personality tests, employer references, succession planning, and newspaper recruitment. According to Najafi (2011) the most important aim is to achieve an improvement in their recruitment and selection. With information provided in this article, the researcher is able to advance a thorough understanding of the different issues on improving recruitment and selection processes within organizations.

In addition, the employment process requires effective communication in terms of the messages to post via advertisements. This is because potential candidates will be attracted by the content of the messages displayed through the adverts. In light of the current technological advancements such as the Internet and social networks, human resource managers would want to utilize such channels to reach many potential candidates across the globe (Lugonja, 2011: 2). This calls for flexibility and willingness to invest in technology where adequate efforts have not been made. However, a multidimensional approach would work better since not all people can access the Internet. In a nutshell, the process of selection and recruitment involves looking for and motivating prospective employees to apply for available job posts. Being a negative process, selection entails scrutinizing the qualifications of candidates that have applied in order to choose only the best applicants for various jobs (Sharma, Khurana, & Khurana, 2009: 17).
Firstly, recruitment is the process of searching for candidates who will be qualified to meet the desired positions in the company. Figure 1.1 shows the four step process in recruiting potential prospects into any company. This process will determine the best means of hiring qualified employees. “Its purpose is to ensure that the required number of applicants with the required skills is generated at minimum possible cost; to eliminate poorly qualified candidates, thus improving the success rate of the selection process; and to help the firm meet its employment equity goals by attracting a diverse applicant pool.”
The recruitment and selection process refers to where organisations use various methods in order to generate a pool of candidates that are suited to the job at hand and align with the organisations goals. With technology being used and relied on by many in the business world, it is important that organisations stay relevant by implementing both web-based applications methods and scientific tests to attract the best possible people for the job. These both have their benefits and negatives when used in the recruitment and selection process, but with some modifications, they would further aid organisations to attract the best possible employees to fit into the job.
